Who runs this site
datamind.com is run by DataMind, the company behind DataMind OS. In this policy, "DataMind," "we" and "us" mean that company.
For anything about your personal data, write to privacy@datamind.com.
What we collect
This site collects two kinds of personal data.
- What you send us. When you request a trial or a demo, or apply to the partner or startup program, the form asks for your full name, work email, company and country, and a partner application asks which program you want. A phone number, your industry and a message are optional. The form also sends the address of the page you sent it from.
- What you write to the assistant. Your messages to Ask DataMind, handled as the assistant section below describes.
- What your browser sends. Our web server keeps no access log. Its error log records failures without your address. The contact form service keeps a salted, short-lived hash of your address only to limit repeated submissions, and it logs outcomes, not what you wrote.
This site does not ask for payment details.
Why we use it
- To answer your request or application, set up the conversation and follow up on it.
- To answer what you ask the assistant and, only when you turn it on, to improve the assistant and the product.
- To run this site, keep it available and protect it from abuse and attacks.
Where the law asks for a legal basis, we rely on the steps you ask us to take before a possible contract, and on our legitimate interest in running a secure website.
We do not sell your personal data, and we do not use it for advertising.
Where your request goes
A request or application you send through a form on this site reaches our sales team through our CRM at datamind.sale, and through our team chat and email. We keep it for as long as the sales relationship needs it, within the periods under How long we keep it.
The assistant on datamind.com
Ask DataMind, the assistant on this site, answers with an AI model. Your messages reach the model through a router that sends them only to zero-data-retention model endpoints, so the model provider does not keep them. To look things up, the assistant searches our documentation at datamind.guide, and that search is not recorded.
- Not stored by default. DataMind does not store your chat. Your browser keeps the conversation for the current tab only, until you close the tab or start a new chat.
- Only when you turn it on. If you turn on "Let DataMind learn from this chat", we keep that conversation, without your address, for up to 180 days to improve the assistant and the product. The switch starts off and covers one conversation.
- Limits against abuse. To limit repeated use, the service keeps a salted hash of your address in memory only. Cloudflare Turnstile may check the first message of a conversation for automated abuse.
- Logs without your words. Our service logs record counts, durations and status codes, not what you or the assistant wrote. Our analytics count that the assistant was opened or used, not the text.
The assistant can make mistakes. Please do not share passwords, card numbers or other sensitive personal data in the chat.
Cookies and trackers
We measure visits with Plausible Analytics, which is cookieless, stores no IP address, reports aggregate numbers only and runs in the EU.
We also use Apollo's website tracker to learn which companies visit and what they read, so our sales team can follow up with the right context. It stores a random visitor id and campaign details (such as utm parameters and the referring page) in your browser's local storage and sends page visits to Apollo. Apollo works with LiveIntent, which may set its own identifiers and match the visit to a business identity, for example a hashed email address it already knows. You can clear these by clearing this site's data in your browser, or ask us to stop processing at privacy@datamind.com.
We use the Google Ads tag to measure which of our ads lead to a contact request. It sets cookies with an ad click id and sends page visits and the fact that a form was sent, never its contents, to Google. Google Consent Mode tells the tag what you allowed.
We use LinkedIn's Insight Tag for the same purpose on LinkedIn: it sets LinkedIn cookies, sends page visits and the fact that a form was sent, never its contents, to LinkedIn, and lets us reach visitors again on LinkedIn.
If you are in Europe, Apollo, the Google Ads tag and the LinkedIn Insight Tag load only after you accept them in the Cookie choices banner. Everywhere else they load with the page. Your choice is saved in your browser's local storage, and you can change it at any time with Cookie choices at the bottom of every page; a decline also stops these trackers outside Europe.
Who we share it with
We share form data only with the service providers we need to run it. Cloudflare Turnstile screens the form and the assistant for automated abuse and receives browser signals and your IP address for that check. Our CRM at datamind.sale records your request, our team chat service carries it to our sales team, and Microsoft, through Azure Communication Services, delivers it by email. When you use the assistant, the model router and the zero-data-retention model endpoints it uses process your messages to answer them. They handle it on our instructions and may not use it for their own purposes.
We disclose personal data to public authorities only when the law requires us to.
How long we keep it
- Contact requests and applications. While the conversation they start is active, then for up to 24 months. If a commercial relationship follows, the agreement with your company sets how long we keep them.
- Assistant chats. Not stored, unless you turn on "Let DataMind learn from this chat": then that conversation is kept for up to 180 days, without your address.
- Server logs. No access log is kept. Error logs hold no addresses.
Your rights
You can ask us to:
- Give you a copy of the personal data we hold about you
- Correct it if it is wrong
- Delete it
- Stop using it, if you object to how we use it
Write to privacy@datamind.com and we will reply within the time the law sets. You can also complain to the data protection supervisory authority where you live or work.
International transfers
DataMind and the providers it uses may handle personal data in countries other than yours, where data protection law can differ. When we move personal data across borders, we use safeguards the law recognizes, so it stays protected to the standard this policy describes.
Security
This site is served over HTTPS. We limit access to form submissions to the people who need them to answer you.
Children
This site is meant for business audiences and is not directed at children. We do not knowingly collect personal data from anyone under 16.
DataMind OS is covered separately
DataMind OS, the product, runs on your own servers. How it handles the data you put into it is set by your license agreement and the product documentation at datamind.guide, not by this policy.
Changes to this policy
We may update this policy as the site or the law changes. The date at the top shows the current version. If a change affects how we use your data, we will say so on this site.
